Tanzania Early Childhood Education and Care (TECEC) is a registered local NGO (No. 00NGO/R/4682) dedicated to empowering and supporting parents, caregivers, and preschool teachers to provide high-quality early childhood care and services for young children, especially those from low-income families in Tanzania. We focus on communities with the greatest needs, working to promote developmental milestones in health, learning, and psychosocial well-being.
Position Summary
The Executive Assistant will provide high-level administrative and operational support to the Executive Director, ensuring smooth day-to-day management of schedules, meetings, communications, and projects. This role requires exceptional organizational skills, attention to detail, and the ability to engage effectively with diverse stakeholders.
Key Responsibilities
Administrative Support
- Manage the Executive Director’s calendar, including scheduling meetings, travel, and events.
- Prepare and organize documents, reports, and presentations.
- Serve as the primary contact for internal and external communications to the Executive Director.
Meeting & Event Coordination
- Coordinate meetings, prepare agendas, take minutes, and track follow-up actions.
- Support logistics for workshops, trainings, and community events.
Communication & Liaison
- Maintain positive relationships with parents, caregivers, teachers, partners, and donors.
- Draft, edit, and respond to correspondence and inquiries in a timely manner.
Project Management
- Support planning, monitoring, and implementation of TECEC projects.
- Track deadlines and deliverables to ensure timely completion.
Data & Records Management
- Maintain organized filing systems, databases, and project documentation.
- Assist in data collection and preparation of reports for evaluations and funding.
Financial Administration
- Assist with basic budget monitoring and expense tracking.
- Support financial reporting and grant application processes.
Qualifications
- Bachelor’s degree in Business Administration, Education, Communications, Social Work, or a related field.
- Proven experience as an Executive Assistant or in a similar role, preferably in the non-profit sector.
- Excellent organizational, time management, and multitasking skills.
- Strong written and verbal communication in English and Swahili.
- Proficiency in Microsoft Office Suite, Google for non-profit; knowledge of project management tools is an advantage.
- Strong interpersonal skills and ability to work with diverse teams.
- Passion for early childhood education and community development.

- Efficiency in Scheduling & Coordination – 95% of meetings and events scheduled without conflict and with all required materials prepared.
- Timeliness of Deliverables – 90% of tasks, reports, and follow-ups completed within agreed deadlines.
- Communication Quality – Positive feedback from at least 80% of stakeholders on clarity, professionalism, and responsiveness.
- Data & Documentation Accuracy – 100% of records maintained accurately and up-to-date.
- Support for Projects – Evidence of effective administrative support contributing to at least 80% of project milestones being met on time.
